This Privacy Policy explains how the TAKMAK Registration Portal (“we”, “us”), operated for licensed meet organizers, collects, uses, and protects information when you register for athletics meets through https://adaa-regi.web.app.
Meet organizers (for example Aurangabad District Athletics Association — ADAA) use this platform to collect registrations. Platform engineering is by TAKMAK.
1. Information we collect
When you submit a registration (individual or school/club), we may collect:
- Athlete details: name, date of birth, gender, age group, AFI UID (if provided)
- Contact details: mobile number, email address
- School/club details: institution name, district, contact person, coach (if applicable)
- Event selections and calculated registration fees
- Payment-related information: amount paid, transaction / UTR ID, payment method, and payment status
- For manual/QR payments: payment screenshot or receipt uploaded by you
We do not store full card numbers, UPI PINs, or banking passwords on this website. Online gateway payments are processed by the payment provider (e.g. PhonePe) on their secure systems.
2. How we use your information
- To process and confirm meet registrations
- To calculate fees and record payment status
- To contact you about registration status, meet updates, or payment verification
- To issue confirmation messages or emails where configured
- To maintain records required for event administration and audit
- To comply with applicable law and resolve disputes
3. Payment data
If you pay through PhonePe or another payment gateway, payment credentials are entered on the provider’s pages. We receive transaction status, order/reference IDs, and amount information needed to mark your registration as paid. For manual/QR payments, you may upload a payment proof which is stored for organizer verification only.
4. Sharing of information
We do not sell your personal data. Information may be shared only with:
- The licensed meet organizer and authorised administrators
- Payment gateway providers (to complete and verify payments)
- Service providers used for hosting, email, or receipt storage, solely to run this portal
- Authorities if required by law
5. Data storage and security
Registration data is stored using secure cloud services (including Firebase). Access to administrative tools is restricted to authorised organizers. You should not share your registration ID or payment proofs publicly.
6. Retention
Registration and payment records are retained as long as needed for meet administration, financial reconciliation, and legal requirements, after which they may be archived or deleted according to the organizer’s practice.
7. Your choices
If you need to correct registration details or have questions about your data, contact us using the details on the Contact page. Please include your Registration ID.
8. Children’s data
Registrations may include details of minor athletes provided by a parent, guardian, coach, or school. Such information is used only for meet registration and related administration.
9. Changes
We may update this policy from time to time. The “Last updated” date at the top will change when we do. Continued use of the portal after updates means you accept the revised policy.
